Sound familiar?
The everyday problems the Study Abroad & Immigration app takes off your plate.
Documents never arrive on time
Transcripts, test scores and bank statements are asked for in the chat, then chased by memory. Applications wait while counsellors follow up by hand.
Too many deadlines to watch
Each student applies to several universities, each with its own deadline. One missed date can cost a whole intake.
Fees and commissions in a spreadsheet
Service-fee instalments and university commissions are tracked apart from the student file, so reminders and claims slip.
How it works
From the first message to a finished job, step by step.
- 1
Enquiry and counselling
A student is created from the WhatsApp conversation and assigned to a counsellor in turn. A returning student stays with their counsellor. Share a counselling summary and a university shortlist as PDFs.
- 2
Documents
Request the documents the student needs. The checklist shows what is missing, and two reminders go out on the days you choose until everything is in.
- 3
Applications
Add one application per university and course. Each one has its own deadline countdown and moves from Shortlisted through Applied to an offer.
- 4
Offers
Record conditional or unconditional offers. A conditional offer needs its conditions met before it can be accepted, and an accept-by reminder goes out in time.
- 5
Visa
Start the visa and move it through its stages: documents, fee, biometrics, interview and decision. Appointment reminders go out 3 days and 1 day before.
- 6
Pre-departure and enrolment
Thirty days before the intake, the pre-departure tasks are created and the student is told. On enrolment, the university commission is recorded as a receivable.
What's inside
The records the app sets up for you, already linked together, with forms, lists, boards and dashboards.
Students
One record per student, from Enquiry through Counselling, Applications, Offers and Visa to Enrolled, Deferred or Lost, with consent and parent details.
Applications
Each university and course applied to, with its own deadline, status, offer conditions and accept-by date.
Universities
Your university list with countries and commission terms. Commission terms are hidden from counsellors.
Documents
A checklist per student: passport, transcripts, test scores, SOP, LORs, financials and more, from Requested to Verified or Needs redo.
Visas
Each visa case with its stage, appointment dates and decision. A refusal can be followed by a linked re-application.
Payments
Service-fee instalments with due dates, payment links, receipts, invoices and refunds.
Commissions
University commission receivables, from Expected and Invoiced to Received or Clawed back. Visible to Managers and Team Leads only.
Tasks
Pre-departure and follow-up tasks: accommodation, flight, forex, insurance, SIM, orientation and re-applications.
Runs itself
Automations that are switched on when you install the app.
- New enquiries are shared out among counsellors in turn; a returning student stays with their counsellor
- Document reminders on the days you set, only while documents are missing; the second one also alerts the counsellor
- Deadline countdown 14, 7 and 2 days before each application's own deadline
- The counsellor and Team Lead are alerted when a deadline passes before the application is submitted
- An accept-by reminder 3 days before an offer must be accepted
- Visa biometrics and interview reminders 3 days and 1 day before the appointment
- Visa refusals and rejections are never messaged automatically: the counsellor is told and gets a follow-up task
- Passports expiring within 18 months of the intake, and test scores expiring before it, are flagged
- Pre-departure tasks created 30 days before the intake, with a message to the student
- Fee reminders 3 days before and on the due date; unpaid fees are marked Overdue 3 days later
From the chat
What your team does without leaving the conversation.
- Create a student, start counselling and share the university shortlist
- Request documents, mark them received or verified, or ask for a redo
- Add applications, record offers and accept an offer
- Start the visa, update its stage and record the decision
- Request a fee payment with a link and mark it paid
- Record consent and send the parent an update
Inside the 24-hour window, messages go out automatically. Outside it, the app uses approved WhatsApp templates, or asks your team to send the message by hand.

Questions
Common questions about the Study Abroad & Immigration app.
Do I need WhatsApp to use the Study Abroad & Immigration app?
No. The app works in Scratchboard on its own. Connect a WhatsApp number through the Libromi Team Inbox to work from the chat sidebar and send document requests, deadline countdowns and fee reminders automatically.
When are parents sent updates?
Only after consent is recorded, with who gave it and when. For a student under 18, consent comes from the parent. Without consent, parents receive no messages from the app.
Are visa refusals sent to students automatically?
No. Refusals and rejections are never messaged automatically. The counsellor is told and gets a follow-up task, so the student hears the news from a person.
Can counsellors see university commissions?
No. Counsellors never see commission rates, expected commission or receivables. Commissions are visible to the Manager and Team Leads.
How are WhatsApp messages sent outside the 24-hour window?
Inside the 24-hour window, messages go out automatically as normal WhatsApp messages. Outside it, the app uses its 19 WhatsApp message templates, which are submitted for Meta approval when your workspace is linked to the Team Inbox.
Can students pay fees online?
Yes. Add your payment link (for example UPI, Razorpay, M-Pesa or Stripe) when you request a payment. The request and the reminders include it.
Can I change the stages, fields or messages?
Yes. Everything the app installs can be edited with the visual builders or by asking the AI Builder, for example to add a document type or change when reminders go out.
